Vendor Refund Policy

GhanaFest Alberta – International Vendor Refund Policy

Applicable to vendors traveling from outside Canada

1. Cover Vendor Categories

This policy applies to the following international vendor types:

  • Food Vendors (e.g., packaged goods, snacks, ready-to-eat items)

  • Craft Vendors (e.g., handmade arts, décor, home goods)

  • Clothing & Accessories Vendors (e.g., traditional wear, jewelry, bags, etc.)

2. Cancellation By Vendor
  • More than 45 days before the event: Full refund minus a $500 administrative fee.

  • 30 to 44 days before the event: 50% refund of total package fees.

  • Less than 30 days before the event: No refund due to advanced logistical and promotional commitments.

 All cancellations must be submitted in writing to the organizing team via email (info@ghanafestalberta.com)

3. Visa Denial Clause (International Vendors Only)
  • If a Canadian visa is denied, the vendor must:
  • Provide official proof of denial

  • Show the application was submitted at least 65 days before the event

Refund eligibility:

      • Denials 15+ days before the event: Full refund minus $500 processing fee

      • Denials within 14 days: No refund

4. Event Cancellation by Organizer
  • If GhanaFest Alberta is cancelled by the organizers, all international vendors will receive a 100% refund of booth fees.

5. Force Majeure Clause
  • No refunds will be issued if the event is affected by force majeure, including:

    • Natural disasters

    • Public health emergencies or pandemics

    • Government-imposed travel bans

    • Political unrest

    • Airline disruptions

    • Any other unforeseen situation beyond the control of the organizers

    Organizers will make reasonable efforts to:

    • Reschedule the event, or

    • Offer credit toward a future GhanaFest Alberta event.

6. Event Postponement
  • If the event is rescheduled:

    • Vendors can retain their booking at no additional cost, or

    • Request a full refund minus $500 administrative charges within 10 business days of the new date announcement.

7. No-Show Policy
  • Vendors who fail to attend the event without prior written communication will:

    • Forfeit their fee, and

    • May be ineligible for participation in future GhanaFest Alberta events.

8. Payment Method Guidelines
  • All payments must be made using one of the following secure methods:

    • International Credit or Debit Card (via a secure payment portal)

    • PayPal (@ghanafestalberta)

    • Bank Wire Transfer (all transfer fees must be paid by the vendor)

    • Mobile Money Transfer (Ghana-based vendors only, subject to exchange rate verification)

    Vendors will receive confirmation and an official receipt upon successful payment.

9. Insurance Recommendations
  • Vendors are strongly encouraged to:

    • Obtain travel insurance covering trip cancellation, lost items, and medical emergencies.

    • Carry product and liability insurance for all goods being sold at the event, especially food vendors.

    (This helps protect against claims arising from foodborne illness, product damage, or injury.)

    Note: GhanaFest Alberta assumes no responsibility for lost, stolen, or damaged items.

GhanaFest Alberta – Vendors (In Canada) Refund Policy

To ensure a smooth and equitable process for all vendors, the following refund policy
applies to all booth registrations at GhanaFest Alberta:

1. Cancellation By Vendor
  • More than 30 days before the event:
    Vendors who cancel in writing (via email) at least 30 days before the event date are eligible for a full refund minus a $120 administrative fee.
    • 15 to 29 days before the event:
      Vendors who cancel 15 to 29 days before the event will receive a 50% refund of their registration fee.

    • 14 days or less before the event:
      Cancellations made 14 days or fewer before the event are not eligible for a refund, as event preparations and promotions will have already been finalized.

2. Event Cancellation By Organizer
  • If GhanaFest Alberta is cancelled by the organizers for any reason, all vendors will receive a full refund of their registration fees within 14 business days of the cancellation notice.
3. Event Postponement

If the event is rescheduled due to weather, emergency, or unforeseen circumstances, vendors will have the option to:

  • Retain their spot for the rescheduled date, or

  • Request a full refund within 10 days of the rescheduling notice.

4. No-Shows

Vendors who do not show up on the day of the event without prior written notice:

  • Will not be eligible for a refund, and

  • May impact their eligibility for future participation at GhanaFest Alberta.

5. Force Majeure Clause

No refunds will be issued if the event is affected by force majeure, including:

  • Natural disasters

  • Public health emergencies or pandemics

  • Government-imposed travel bans

  • Political unrest

  • Airline disruptions

  • Any other unforeseen situation beyond the control of the organizers

Organizers will make reasonable efforts to:
